Program Statuses

The Program Statuses screen (left side menu) holds your organization’s status catalog: the shared pool of status names every program draws from.

A status here is just a label with:

  • Name — e.g. Intake, Eligibility Review, Approved, Disbursement, Closed.
  • Description — optional note on what the status is for.
  • Color — the dot shown wherever the status appears.
  • Active — inactive statuses stay on items that already use them but can’t be added to new programs.

That’s all a catalog entry is. On its own, a status does nothing — it has no rules, no approval behavior, no budget effect. Rules attach when a program adopts the status and maps it to a system status on Edit Program → Statuses.

Because the catalog is shared, the same status (say, “Approved”) can be used by many programs — and can even behave differently in each one, depending on how each program maps it. Keep names generic enough to reuse; program-specific meaning belongs in the program’s own mapping.

  • Add Status creates a new catalog entry (name, description, color).
  • The pencil edits an entry — renaming a status renames it everywhere it’s used.
  • The trash removes an entry. Remove the status from any programs still using it (Edit Program → Statuses) before deleting it from the catalog.
  • Import/Export lets you move a status catalog between organizations.
